🎯 The Challenge

Our client was running an in-person Self-Esteem Workshop and needed a reliable system to promote the program, manage bookings, reduce no-shows, and make the whole process smoother — both for the organisers and the participants. Like a lot of community-based programs, the goal wasn’t just to get signups, but to get actual bums on seats.


🛠️ What We Did

✅ 1. Landing Page & Funnel

We built a custom landing page with a clear, friendly overview of the program — who it’s for, what’s involved, and how to sign up. But instead of jumping straight into a long form…

We used a two-step funnel to reduce drop-offs.

  • Step 1: Name and email to unlock the calendar

  • Step 2: After choosing a date, users completed the full registration

That early name + email capture allowed us to follow up with people who bailed halfway, nudging them to finish the process later. Simple, but powerful.


✅ 2. Back-End Systems

Once registered, participants were automatically entered into a visual pipeline system, which showed exactly where each person was at — from “Booked” to “Confirmed” to “Attended.”

We set up a series of automated messages:

  • 📩 Instant booking confirmation

  • ⏰ 1 week out: a text asking for a “YES” reply to confirm their spot

  • ❌ Cancel link included, so dropped spots could be filled early

  • 🔁 If no reply: a follow-up text the next day

  • 📋 2 days before: casual reminder with what to bring

  • 📢 1 day before: firm “don’t forget” reminder

Each response triggered its own friendly, pre-written follow-up, and each action moved the participant across the pipeline. Organisers didn’t have to manually chase anyone — it all happened behind the scenes.

The result? More confirmations. More show-ups. Less chaos.


✅ 3. Facebook Ads

We ran targeted Meta Ads focused on three key factors:

  • 📍 Location — within driving distance of the venue

  • 👩‍👧 Demographic — tailored to the age/gender of the session

  • 🎯 Topic — copy and visuals tied directly to confidence, resilience, and growth

The ads pushed traffic straight to the funnel — and because everything worked together, the workshops consistently filled to capacity.
